1. Your booking
1.1 Your booking is made with Tru Nature Events & Retreats Ltd.
1.2 Your booking is confirmed when we accept your booking and send you written confirmation.
1.3 By booking, you confirm that:
- you are aged 18 or over, unless the event is expressly stated to be open to younger participants
- you have authority to accept these Booking Terms on behalf of all persons included in the booking, if booking for more than one person
- the information you provide to us is true, accurate, and complete
- you have read and agree to these Booking Terms and the relevant booking information provided for your event or retreat, including any applicable pre-contract information made available to you before booking
2. Event and retreat details
2.1 The main characteristics of the event or retreat, including dates, location, inclusions, exclusions, and price, will be set out on the relevant product page, booking page, confirmation email, or any pre-contract information we provide.
2.2 Specific details for a particular event or retreat form part of your booking alongside these Booking Terms.
2.3 Where there is any inconsistency between these Booking Terms and the specific details provided for a particular event or retreat, the specific details for that event or retreat will take precedence.
3. Prices and payment
3.1 Prices for events and retreats will be as stated at the time of booking.
3.2 Where a deposit payment option is offered, the amount of the deposit and the balance due date will be stated at the time of booking.
3.3 Unless otherwise stated, any deposit paid is non-refundable except where we cancel the booking.
3.4 Where a balance is due at a later date, it is your responsibility to ensure payment is made on time.
3.5 If any balance remains unpaid after the due date, we may contact you and allow a short grace period at our discretion. If payment remains outstanding after that period, we may cancel your booking.
3.6 If we cancel your booking for non-payment, any deposit already paid will remain non-refundable unless the law requires otherwise.
4. Cancellation by you
4.1 Cancellation terms may vary depending on the event or retreat and will be stated on the relevant booking page, product page, confirmation email, or pre-contract information.
4.2 Unless otherwise stated for a specific booking:
- if you cancel before any stated balance due date, you will lose any non-refundable deposit paid
- if you cancel on or after the balance due date, the full amount paid may be non-refundable
4.3 If you are unable to attend, we may, at our sole discretion, allow you to transfer your booking once to another event or retreat offered by us, provided:
- we are given reasonable notice
- a suitable alternative booking is available
- any price difference and any reasonable administration or third-party costs are paid by you
- the transfer is accepted by us in writing
4.4 A transfer is a discretionary goodwill option and not an automatic right.
4.5 If you cancel a transferred booking, or fail to attend the transferred event or retreat, all monies paid will be non-refundable unless the law requires otherwise.
4.6 No refund will be given for late arrival, early departure, unused services, or voluntary non-participation unless required by law.
5. Changes or cancellation by us
5.1 We may make minor changes to an event or retreat where reasonably necessary.
5.2 We may cancel an event or retreat or make significant changes if reasonably necessary due to circumstances such as insufficient numbers, safety concerns, supplier issues, venue changes, or circumstances beyond our reasonable control.
5.3 If we cancel an event or retreat, you will be offered either:
- a full refund of monies paid to us, or
- a transfer to another event or retreat, where available
5.4 If we make a significant change before the event or retreat begins, we will notify you as soon as reasonably possible and, where applicable, offer the options required by law.
6. Minimum numbers
6.1 Some events or retreats may require a minimum number of participants to go ahead.
6.2 Where this applies, the minimum number and the latest cancellation date for insufficient numbers will be stated in the relevant booking information for that specific event or retreat.
7. Travel, accommodation, and inclusions
7.1 Travel, accommodation, meals, transfers, activities, and other inclusions vary depending on the event or retreat booked.
7.2 You are responsible for checking the relevant booking information carefully before booking.
7.3 Unless expressly stated otherwise in the relevant booking information, flights, accommodation, insurance, spending money, optional extras, and items not specifically listed as included are not included in the booking price.
8. Accommodation and sharing
8.1 Where accommodation is included, the accommodation basis will be stated in the relevant booking information.
8.2 If a booking involves shared accommodation and you are travelling with a friend and would like to share, please let us know at the time of booking. We will do our best to accommodate shared-room requests and, where we confirm a specific arrangement in writing, we will honour that arrangement unless circumstances outside our reasonable control make this impossible.
9. Travel insurance
9.1 Where travel is involved, you are responsible for arranging and maintaining suitable travel insurance for the duration of your trip and your travel to and from it, unless expressly stated otherwise in the relevant booking information.
9.2 If travel insurance is required for a particular event or retreat, this will be stated in the relevant booking information.
10. Health and participation
10.1 You must tell us before the event or retreat about any medical conditions, injuries, allergies, dietary requirements, mobility needs, or other relevant information that may affect your participation or that we reasonably need to know in order to help deliver the event or retreat safely.
10.2 We may decline or cancel a booking if, acting reasonably, we believe that we cannot properly accommodate your needs or that participation would create a risk to you or others that cannot be managed safely.
10.3 Activities may include movement, meditation, sound-based sessions, workshops, nature-based experiences, or similar wellbeing activities, depending on the event or retreat. You take part voluntarily and should remain within your own limits.
10.4 Nothing provided as part of an event or retreat is intended as medical advice, diagnosis, or treatment.
11. Behaviour
11.1 We want all events and retreats to be safe, respectful, and enjoyable for everyone.
11.2 If, in our reasonable opinion, your behaviour is likely to cause distress, danger, damage, significant disruption, or harm to yourself, other guests, staff, suppliers, or property, we may terminate your participation without refund, except where the law requires otherwise.
12. Optional extras and third-party services
12.1 Optional extras purchased separately may be subject to separate provider terms.
12.2 We are not responsible for services that you arrange independently and that do not form part of your booking with us, subject to applicable law.
13. Complaints and assistance
13.1 If you have a complaint or need assistance before or during an event or retreat, please contact us as soon as possible at bookings@trunatureevents.com so we have an opportunity to help.
13.2 If a complaint is not resolved during the event or retreat, please write to us within 28 days of the end of the event or retreat with full details.
13.3 Where applicable, we may also have statutory duties to provide assistance to travellers in difficulty.
14. Data protection
14.1 We will process your personal data in accordance with our Privacy Policy and our Events & Retreats Privacy Notice.
14.2 Where you provide health, allergy, dietary, or similar information, we will process it only as reasonably necessary for administering your booking, planning arrangements, supporting your safety and wellbeing, and delivering the event or retreat in accordance with applicable data protection law.
15. Liability
15.1 We do not exclude or limit liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.
15.2 Subject to clause 15.1, our liability is limited to the fullest extent permitted by law.
15.3 Nothing in these Booking Terms affects any rights you have under applicable consumer law.
15.4 Where package travel law applies, we may have statutory responsibility for the performance of the travel services included in the package, even where those services are performed by third parties.
16. Governing law
16.1 These Booking Terms are governed by the law of England and Wales.
16.2 Any dispute will be subject to the jurisdiction of the courts of England and Wales, unless applicable consumer law gives you the right to bring proceedings elsewhere in the UK.
